The short answer

To plan Meta Ads campaigns, sketch your funnel (for example video → free demo → counselling call → enrolment), then decide the traffic for each stage: cold traffic with top-of-funnel content for new people, and warm or hot remarketing with offers and testimonials for people who already know you. Combine stages with fewer than 100 people.

About this SOP: why it matters, where and when

Why it matters: Changing a drawing is far easier than changing live campaigns, and gaps become obvious.

Where: Google Drawings (Unlearn Funnel Designer template).

When: Before every large Meta campaign.

Stage 1

Set up the template

  1. 1

Make a copy of the Unlearn Funnel Designer template in Google Drawings.

  2. 2

To add elements, hold Option (Mac) or Alt (Windows) and drag a shape onto the canvas. This copies it.

  3. 3

To connect elements, pick the line tool at the top, choose “Arrow” and link the steps.

Stage 2

Map your funnel and traffic

Diagram

Example: an Unlearn admissions funnel

Cold · TOFU

Reel / YouTube video

Reach new people with a useful tip

Warm · MOFU

Free demo class

Retarget video viewers

Hot · BOFU

Counselling call

Retarget demo sign-ups with testimonials

Goal

Enrolment

Exclude enrolled students from ads

  1. 1

Sketch your current funnel, e.g. reel or video → free demo → counselling call → enrolment.

  2. 2

For each stage, decide the traffic type: Cold, Warm/Hot (remarketing), or None.

  3. 3

Cold traffic: new people. Start with top-of-funnel content such as videos, reels or blogs.

    Tip

Pick the right cold audiences with SOP 074.

  4. 4

Warm/Hot traffic: people who already know you. Use free offers, trials, testimonials or limited-time deals.

    • If a stage has fewer than 100 people, combine it with the next stage until the audience is large enough (ideally 5,000+).

Stage 3

Share your plan

  1. 1

Download it: File → Download → PNG image.

  2. 2

Or share it: File → Share, then add your teammates’ emails.

Agency playbook

Doing this for a paying client

What a senior checks before calling the job done. Numbers are starting rules; compare them with the account’s own history.

What good looks like

  • Each campaign has one business goal, one objective and one conversion event, tied to a stage the client can count in their CRM (customer relationship management system).
  • Few campaigns and ad sets. Starting rule: each ad set can reach about 50 results in 7 days at the planned budget.
  • Most budget goes to prospecting, often 70–80% as a starting rule. Remarketing gets less because warm audiences are small.
  • Every stage has its own message: proof and education for cold, offer and FAQs for warm, a direct call or WhatsApp for hot.
  • The plan says what success looks like at day 7, day 14 and day 30, so nobody panics on day 2.

Mistakes we see on real accounts

  • One campaign per interest or audience. Budget splits thin, nothing exits learning, and costs stay high and unstable.
  • Showing hard offers to strangers. Cold audiences find it pushy, CPL rises and lead quality drops.
  • No plan for after the lead. Nobody calls within an hour, and the client decides “Meta leads are fake”.
  • Ignoring the Kerala calendar: Onam, Vishu, exam season, Gulf travel months. Costs and conversion rates swing, and your forecast breaks.

Agency checklist before you call it done

  • The plan comes from the client brief: offer, price, target CPL (cost per lead) or CPA (cost per sale), monthly budget plus 18% GST.
  • Each stage shows objective, conversion location (website, WhatsApp, instant form) and who is excluded.
  • Warm and hot audience sizes checked in Ads Manager. Small stages are combined.
  • A creative list per stage, with an owner and due date for each asset.
  • Names written for every planned campaign, ad set and ad (SOP 073).
  • Plan PNG saved in the client folder with the date in the file name.
  • Client approved the plan, budget and lead follow-up process in writing before you build.

Handover message to the client

Hi [Client name], attached is the Meta campaign plan for [November]. Budget ₹[60,000] + 18% GST (₹[70,800]). Three stages: cold video ads, a free demo offer, and WhatsApp follow-up for warm leads. Please confirm the plan and your team’s callback process by [date] so we can build.

Senior tip

Plan the feedback loop, not just the ads. Have the client mark each lead as qualified, visited or enrolled, then send those stages to Meta via Conversions API. Delivery then learns to find buyers, not form-fillers.

Practice & check

Now do it for real

Reading is not doing. Open your own account and complete this task before you move on.

Practice task (5 min)

Draw a funnel (Instagram reel → free demo → admission call → enrolment) and mark each stage cold, warm or hot.

Prove it

1. What content suits cold traffic best?
2. A funnel stage has only 80 people. What do you do?

Two questions. Get both right and this SOP is done.

Common questions

What is cold, warm and hot traffic in Meta Ads?

Cold traffic is people who don’t know you yet. Warm traffic has engaged with you (watched a video, visited your site). Hot traffic is close to buying, such as demo sign-ups or checkout visitors.

Done. That’s a real skill, not a certificate.
